Rules and Standards

Auction Information:

Attendance: Open to the public.

Times:

9:00 am Seller s check in. Please arrive early if you didn t pre-register. Online registration ends at 10:00 pm, August 23, 2024.

10:00 am Opens to the public. Buyers can browse auction items.

10:30 am Auction Begins.

6:30 pm Auction Ends.

7:00 pm Room should be cleared of all items.

Seller Rules:

1.    Registration: Sellers may register items in our auction at any time before or during the Auction. We will have a link to pre-registration form on our DFWAA.org website. During the auction, we may decline to register items if it is too close to our cut-off time or if we are over our maximum item limit for the event.

2.    Types of Items Allowed: Please limit your auction items to Fish, Reptiles or other Pet related items. No mammals allowed.

3.    Auction Item Limit: DFWAA will limit the overall item count of the auction to the first 500 items.

4.    Seller Fees:

a.    Final Auction Fee: is 15% if sale price is under $20.00 or $3 if it is $20.00 or over. If an item sells for $2.00 or less the item will be considered a donation to DFWAA.

b.    Reserve Fee: is 5% of your reserve price.

c.     Buy It Now Price (BIN): is free, final auction fees still apply. 

5.    Bump Up Fee: If a seller wants to move an item up to the front of the line, they can pay a $2 Bump Up Fee. DFWAA Staff will then move that item to the Up for Auction table and it will be auctioned as soon as possible. This fee is payable in cash only.

6.    Seller Attendance: Sellers are not required to remain at the Auction while their items are being sold. But, if an item does not sell and the Seller is not present at the end of the auction the item will be considered abandoned and will become DFWAA property. It will then be sold at any cost by the DFWAA and will benefit the DFWAA. Sellers who decide to leave the Auction with any unsold items must check those items out with the clerk at the cashier table.

7.    Items Placed on Tables Rules: Items must be left on tables unless:

a.    Fish or animals are in distress or dead or will be in distress if left for any longer.

b.    Item is not as advertised in the description as determined by DFWAA Staff.

c.     Item presents a danger to the staff or public as determined by DFWAA Staff.

8.    DFWAA reserves the right to remove any of a Sellers items from our Auction at any time. Any reserve fees will be refunded.

9.    Packaging Fish: Fish should be packaged in quality plastic bags, preferably 2 mm or better in thickness, clear plastic, well sealed and packaged in oxygen if not detrimental to the species. No Zip-Loc bags are allowed.

Buyer Rules:

1.    Entrance Fee: Entrance is free, bidding requires the purchase of a Bidders Card see below.

2.    Bidders Card: To bid, buyers are required to purchase a bidders card from the front desk. Bidders Cards are $5.00. Express Members will get one free card.

3.    Bump Up Fee: If a buyer wants to move an item up to the front of the line, they may pay a $2 Bump Up Fee. DFWAA Staff will then move that item to the Up for Auction table and it will be auctioned as soon as possible. This fee is payable in cash only.

4.    Buy It Now (BIN): If an item has a BIN price listed on its tag a buyer may purchase it by bringing the item up to the register.

5.    Winning Bid: Once an item is won/sold, the item will be handed to the winning bidder, if possible. When a buyer is leaving the auction with merchandise they are required to stop by the cashier and check out. The buyer will get an invoice/receipt marked as paid.

6.    Exiting with Auction Items: Items won at auction must be paid for at the checkout when exiting. For previous purchases buyers are required to show a receipt before leaving.

7.    PAYMENTS ACCEPTED:

a.    Cash is preferred (ATM in hotel business center)

b.    Zelle

c.     PayPal (Friends & Family)

d.   Credit Card payments will have a flat 3.5% fee to cover our credit card processing fees.

General Rules and Definitions:

End of Auction: Auction Staff can end the auction at any time if the auction has run past a pre-determined cut-off time. Or if weather conditions are becoming dangerous (ice or threat of severe weather). This is another reason Sellers must remain at the Auction with their goods. If the Auction is called the remaining items registered will all be marked unsold and any bump-up or reserve price fees will be refunded.

Pre-registration Form: This is a Google Form for sellers to register their items prior to the auction. We use the data from this form to produce stickers for individual items. These stickers will be available to sellers when they arrive.

Final Auction Fee: This is the fee that DFWAA charges sellers based on the Final Auction Bid.

Reserve Fee: When a seller wants to make sure their item sells above a certain price they may put a reserve price on their tag. The Reserve Fee is 5% of the reserve price desired.

Buy it Now (BIN) Price: Sellers can put a buy it now price on their item tag so buyers can instantly buy their item for that price if desired.

Up for Auction Table: This is the table that the Auctioneer takes items from to auction off.

Bump Up an Item: For a fee any seller or buyer can request from any DFWAA staff member that an item be bumped up to the front of the line. A staff member will collect the fee (cash only) and bring the item to the Up for Auction Table. It will be auctioned next unless there are other Bump Ups already in the queue.

 

These rules are subject to change at the DFWAA Boards discretion.
